Agreement administered by Serenity Fitness Ltd “Serenity”

1. General Terms
1.1. This Agreement is entered into between Serenity Fitness Ltd ("Serenity Fitness") and the undersigning client ("Member"). By purchasing a membership, class pass or workshop, the Member agrees to the following terms and conditions.
1.2. Serenity Fitness reserves the right to modify these terms at any time. Members will be given at least 14 days’ notice of any changes, which will be communicated via email or posted on our website or app. Continued use of Serenity’s services constitutes acceptance of the updated terms.
2. Membership & Payment Terms
2.1. Membership begins upon the completion of payment and remains active as per the selected plan. Plans available to purchase and their specific are detailed within the app.
2.2. Monthly memberships automatically renew unless cancelled with 30 days’ written notice via email and require a three month minimum term.
2.3. Additional passes can be purchased before the original pass expires.
2.4. Serenity Fitness is authorised to withdraw recurring membership payments from the payment method provided on the date agreed. Failure to make payments may result in suspension of membership, restricting access to facilities until payment is received. Reinstatement may require payment of outstanding fees.
2.5. If payments are overdue by 30 days or more, the outstanding balance may be referred to a third-party debt collection agency.
2.6. Monthly Pilates members may use the code ‘PILATESMONTHLY’ for discounted additional Pilates classes (valid on PAYG Pilates only).
2.7. Monthly members may use the code 'MONTHLYTEEFREE' for a free Serenity Fitness branded t-shirt and code 'MONTHLYHOODIE25' for discounted Serenity Fitness branded hoodie. One per customer and whilst stocks last.
2.8 Members are responsible for keeping their personal information up to date via the Serenity Fitness app or by notifying Serenity via email.
3. Cancellation & Refund Policy
3.1. General Memberships: Cancellations require a full calendar month's written notice via email. Members may continue using the gym during this period. No refunds will be issued for unused time.
3.2. Class Passes: Class credits must be used within the expiration period. Expired credits are non-refundable and non-transferable.
3.3. Workshops & Special Events: Cancellations made within 48 hours of the workshop/event will not be refunded or rescheduled. No-shows result in forfeiture of payment.
3.4. Medical & Exceptional Circumstances: Memberships may be frozen or cancelled due to medical conditions, relocation (15+ miles away), redundancy, or pregnancy. Members must submit written documentation for approval. Memberships can be frozen for up to six months, after that current pricing is applicable.
4. Health & Safety
4.1. Members must complete a pre-screening questionnaire (PAR-Q) and pass all the questions before participating in any fitness activities.
4.2. Members agree that they have sought medical advice ahead of attending class, as brought up in the PAR-Q, should it be needed, such as having a medical check up post giving birth (normally six weeks or more).
4.3. Members agree that they are physically fit to participate in exercise programmes and will inform instructors of any medical conditions (pre-existing and new) that may impact their safety before their first session and whenever anything changes.
4.4. Serenity Fitness is not liable for any injuries sustained while using the facility. At Serenity Fitness, we prioritise member safety and wellbeing. While we take every precaution to provide a secure and supportive environment, members are encouraged to exercise responsibly and within their personal limits.
4.5. Parents/guardians must supervise children during ‘Tabatas & Tots’ and ‘Reformers & Rugrats’ classes at all times.
4.6. Communicate openly with your instructor about how you are feeling during session, including any pain , discomfort, fatigue, or concern for your safety.
5. Facility & Class Policies
5.1. Late Arrivals: Members arriving more than two minutes late to a class will not be permitted entry. Exceptions may be granted at the instructor’s discretion if notified in advance.
5.2. Class Cancellations: Members must cancel at least 12 hours in advance to receive a class credit. No refunds. Late cancellations, no-shows and late shows will result in credit loss. Members may contact Serenity Fitness via email with valid reasoning to request reconsideration. To waive the class cancellation fee, draft a Google review at https://g.page/r/CXFM0J1cl668EB0/review or promote and tag Serenity Fitness on social media. Cancellations for ‘Reformers & Rugrats’ or ‘Tabatas & Tots’ (with a child in attendance) will result in class being recredited to account.
5.3. Behaviour: Abusive language, inappropriate behaviour, misuse of equipment, and attending under the influence of alcohol or drugs will result in immediate suspension or termination of membership. Be respectful to your instructor and members and follow any safety instructions provided.
5.4. Taster Class: Individuals are required to arrive five minutes before class to complete a pre-screening exercise questionnaire.
5.5. Wear suitable workout clothing. Wear suitable footwear for fitness class and non-slip socks are to be worn at all Pilates classes.
5.6. Class Booking: Classes are booked via the Serenity app. Download app at http://wix.to/mjFPq6E?ref=mam (Wix spaces, Serenity Fitness, code JVNZML).
5.7. Pilates Introduction Workshop: Attendance at the Pilates Intro Workshop is compulsory prior to attending any Pilates timetabled class, regardless of experience. Workshop is non refundable. Workshop can be rescheduled given notice to do so is shared outside of 48 hour prior to workshop and rebooked within a month of original booking. Cancellations made within 48 hours of the workshop and no-shows will result in forfeiture of payment. Should you not be able to attend the Workshop, but are attending a ‘Reformers & Rugrats’ class with your child for the first time, you must pay the Workshop fee. Individuals are required to complete a pre-screening exercise questionnaire prior to participating in the workshop. Non-slip socks are to be worn.
5.8. Members are 16 years old and above to attend classes independently. However, we allow 14 and 15 year olds to attend classes if they are accompanied by a parent or guardian who is also a member. Ages 14 and above are charged at the adult rate.
6. Photography & Media Consent
6.1. Serenity Fitness may take photos/videos during classes for marketing, publicity, social media, press releases, and other promotional purposes by Serenity Fitness and the instructor, including on www.serenity-fitness.co.uk and associated social media channels.
6.2. Members who do not wish to appear in promotional materials must notify instructors in writing via email before attending a class or inform the instructor when photos/videos are seen to be taken during class.
7. Privacy & Data Protection
7.1. Serenity Fitness is committed to protecting Member data in compliance with GDPR. Personal information will only be used for membership management and will not be shared with third parties without consent.
7.2. By signing up, Members agree to receive membership-related communications via app, email or SMS.
7.3. App profiles can be deleted by the Members themselves or by Serenity, upon request.
8. Liability Waiver
8.1. Serenity Fitness is not responsible for lost, damaged or stolen personal items.
8.2. Members acknowledge the benefits of physical activity and understand that fitness activities involve some level of risk. Serenity Fitness is dedicated to fostering a safe and positive environment, and members are encouraged to exercise responsibly. While Serenity Fitness takes all reasonable precautions, it cannot accept liability for injuries except in cases of gross negligence.
9. Personal Injury Waiver
9.1. Members understand that my participation in exercise programmes, group sessions, classes, or events conducted by Serenity Fitness is voluntary and at their own risk.
9.2. Members are aware that exercise can be physically demanding and, in rare cases, may result in injury. Members will perform all exercises at their own pace, based on their own fitness level, strength, and movement ability.
9.3. Members confirm that they will inform Serenity Fitness and the class instructor of any symptoms during exercise, including fatigue, shortness of breath, chest discomfort, or any pain or concern for their own safety. If the member has high blood pressure, diabetes, a heart condition, any existing injury, have had recent surgery, or am taking prescribed medication that could affect their performance, they will inform Serenity Fitness and the class instructor before participating in any exercise.
9.4. Members understand that they will be given instructions on how to perform exercises and use equipment, and they will ask if there is anything that they do not understand before starting.
9.5. Serenity Fitness and the class instructor will not be liable for any injuries or damage arising from participation in training. Serenity Fitness and the class instructor shall not be responsible for articles lost or stolen during training.

By signing up for a taster class, workshop, event membership, class pass, or event, the individual/Member acknowledges that they have read, understood, and agreed to these Terms & Conditions.
The member confirms that they have read and understood this agreement in full. The member understands that they should inform their coach of any medical condition and that they may be advised to consult my doctor before starting.
The member acknowledges that they have either received medical clearance to participate, or that they have chosen to participate without consulting their doctor and accept full responsibility for doing so.
They release Serenity Fitness and the class instructor from any liability for personal injury or other damage sustained during any exercise programme.
The member acknowledges receipt of this agreement and confirms acceptance of all terms and conditions.
